This Privacy Policy explains how RenamerX handles personal information when you use:

  • the RenamerX website at renamerx.com
  • the RenamerX desktop application
  • checkout, payment, licensing, and download flows
  • support and other communications with us

In this Privacy Policy, "RenamerX," "we," "us," and "our" mean the RenamerX Team.

1. Summary

RenamerX is a local-first AI file renamer and organizer. That matters for privacy.

Routine file understanding and rename generation are designed to happen on your device after setup completes. We do not operate the normal rename pipeline by routinely uploading your working files to our servers for hosted AI processing.

At the same time, some parts of the product do require networked services, including website analytics, checkout, order processing, license activation, license validation, download delivery, and related support workflows.

2. Scope

This Privacy Policy covers personal information processed by RenamerX in connection with:

  • website visits and marketing pages
  • documentation pages and blog pages
  • checkout and payment flows
  • license issuance, activation, validation, and deactivation
  • download and update-related website flows
  • support, operational, security, and compliance activities

This Privacy Policy does not apply to third-party services that you use separately and that have their own privacy policies.

3. What data we collect

The categories of personal information we collect depend on how you use RenamerX.

A. Website usage and analytics data

When you visit renamerx.com, we may collect or receive information such as:

  • page views and navigation events
  • referring URL and campaign context
  • browser, device, and operating system information
  • general location signals inferred from IP-based country headers used for regional checkout routing
  • analytics event data relating to site usage

We currently use Umami analytics on the website. We configure analytics to respect Do Not Track and exclude on-site search terms, but analytics providers may still process technical request metadata needed to deliver the service.

B. Checkout and order data

When you start or complete a purchase, we may collect or receive:

  • order number
  • plan, amount, and currency
  • checkout provider, provider order ID, and provider checkout ID
  • order status, payment status, refund status, paid date, and fulfillment date
  • customer email when it is provided to us through the payment flow or provider records
  • limited provider metadata needed to operate checkout or verify payment callbacks

We do not store full payment card numbers in our own order database.

C. License and device data

When you claim, activate, validate, or deactivate a RenamerX license, we may process:

  • license key in encrypted form where storage is required
  • a salted hash of the license key for matching and validation logic
  • machine identifier
  • optional machine name
  • activation, validation, and deactivation timestamps
  • plan and activation-limit information linked to the license

D. Communications and support data

If you contact us, we may process:

  • your name or identifier
  • your email address or reply channel
  • your message contents
  • purchase references or order details you provide
  • files, screenshots, or diagnostic details you choose to send us

E. Local app data that normally stays on your device

The RenamerX desktop app may locally process and store data on your device, including:

  • selected file and folder paths
  • extracted metadata and preview information
  • suggested names and rename history
  • template settings, preferences, and watch-folder configuration
  • local billing or license state cached on the device

As a general rule, this local app data is processed on your device as part of the product workflow and is not routinely transmitted to our servers for rename generation.

4. What stays local

After setup resources are installed, the following product operations are designed to run locally on your device:

  • reading supported files that you explicitly add or configure
  • extracting text, metadata, and local previews
  • generating rename suggestions from templates
  • applying rename or move operations
  • undoing supported file operations

This local-first design is a core part of how RenamerX works.

5. What uses network access

Some RenamerX workflows require internet access or external services, including:

  • visiting and using renamerx.com
  • website analytics
  • downloading desktop installers or setup resources
  • opening or completing checkout
  • payment processing and payment verification callbacks
  • license issuance, activation, validation, and deactivation
  • transactional emails or order-confirmation flows, if enabled
  • security, abuse prevention, legal compliance, and support workflows

6. How we use personal information

We use personal information to:

  • operate, secure, and improve the RenamerX website
  • route users to the appropriate regional checkout provider
  • create and manage orders
  • fulfill paid purchases and issue licenses
  • activate, validate, and deactivate licenses
  • enforce plan limits and prevent fraud, abuse, and license misuse
  • provide download, purchase, and post-purchase user flows
  • respond to support requests and resolve disputes
  • maintain records for accounting, tax, legal, and compliance purposes
  • understand aggregate usage and improve content, product flows, and reliability

Where data protection laws require a legal basis, we generally rely on one or more of the following:

  • Contract: to provide the website features, complete purchases, issue licenses, and support the product you request.

  • Payment providers. RenamerX currently supports payment-provider flows including Creem and YunGouOS, depending on region or checkout context.
  • Analytics providers. We currently use Umami analytics for website measurement.
  • Hosting, infrastructure, delivery, and database service providers that help us run the website, order flows, downloads, or related systems.
  • Email and support service providers, if we use them for transactional or support communications.
  • Professional advisers, auditors, insurers, and authorities where necessary for legal, compliance, or enforcement purposes.
  • Successors or counterparties in a merger, acquisition, financing, or asset transaction, subject to appropriate confidentiality and legal protections.

We do not sell your personal information in the ordinary meaning of that term.

9. International transfers

Your information may be processed in countries other than the country where you live. This can happen when our providers or infrastructure operate internationally.

Where required by law, we use appropriate safeguards for international transfers, such as contractual protections or other lawful transfer mechanisms.

10. Retention

We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • provide the product and website
  • complete orders and issue licenses

Local app data stored on your device follows the retention behavior of the app and your own use of the device, unless you delete it or uninstall the app.

We use reasonable technical and organizational measures intended to protect personal information.

Examples may include:

  • access controls and least-privilege practices
  • transport security where available
  • encrypted storage of license-key material where stored by our services
  • salted hashing of license keys for validation logic
  • webhook verification for supported payment callbacks

No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

Depending on where you live, you may have rights such as the right to:

  • correct inaccurate personal information
  • delete personal information
  • restrict or object to certain processing
  • withdraw consent where processing is based on consent
